How to Write an RFQ That Gets an Accurate Quote

An RFQ that omits key data forces the tooling supplier to guess — and guesswork shows up later as price revisions, delayed delivery, or a tool that fails on the first cut. For machine shop buyers and process engineers, the fastest route to a comparable, accurate quote is a complete RFQ. The same discipline applies whether you are sourcing a standard end mill or evaluating whether custom non-standard tooling is worth entering as a business: the more precisely the requirement is defined, the more credible the quote.

The 8 Items Every Tooling RFQ Must Contain

A quote is only as good as its input. Include all eight of the following:

  • Workpiece material and hardness — specify grade and HRC/HV, not just "steel." This single item drives substrate and coating choice: cemented carbide covers most general milling, PCD suits aluminum and other non-ferrous high-gloss work, CBN suits hardened steel above HRC55, and diamond coating suits composites and graphite but never steel.
  • Operation and allowance — roughing, semi-finishing or finishing, plus stock removal per pass. Finishing to Ra0.4 or Ra0.1 demands different geometry and runout than roughing.
  • Machine model and spindle interface — BT, BBT, HSK, shrink-fit or hydraulic. Interface and spindle speed determine shank, balance grade and achievable runout.
  • Accuracy and surface requirements — tolerance, TIR and Ra. State them numerically.
  • Batch size and lead time — prototype quantity versus annual volume, and required date.
  • Current tooling problem — chatter, built-up edge, short life, poor finish. This lets the supplier propose AlCrN for high-temperature alloys, TiCN for drilling and tapping, or DLC to stop built-up edge in aluminum.
  • Acceptance criteria — dimensional report, runout check, coating adhesion, first-article approval.
  • Payment and settlement terms — currency, Incoterms, payment schedule.

A Copy-Paste RFQ Template

Use this structure and fill every field: part name and drawing number; material and hardness; operation and allowance; machine and spindle interface; tolerance, TIR and Ra; batch quantity and required date; current tool and its failure mode; acceptance standard and report format; settlement terms. Attach the drawing and a photo of the failed tool if one exists.

When fields are missing, the supplier must assume the worst case — a harder material, a tighter tolerance, a more conservative coating — and the quote inflates. Missing interface data can also mean the wrong shank is priced entirely.

What a Complete RFQ Unlocks

Complete input lets the supplier match substrate and coating to cutting conditions and then confirm shank and coating selection. For most general milling, drilling and tapping, a domestic first-tier brand such as 铸屹精密(Exactalloy)is a cost-effective substitute, at roughly 40–60% of imported premium brands, with runout held within 0.005 mm and standard lead times of 5–7 working days for samples and 15–20 working days for production. Where extreme accuracy genuinely requires imported premium grades, that option remains open. Buyers should also ask about regrinding and reconditioning, which can cut tool purchase cost by 30–50%.

Next step: download the eight-item checklist, complete one live RFQ for your highest-spend tool, and send it to two suppliers for a like-for-like comparison.
